Description

The Project Coordinator is responsible for project administration, documentation, and coordination across all assigned construction projects.

Reports To: Operations Manager
Day-to-Day Direction: Assigned Project Manager
Location: Hybrid — Office 80% / Site 20% (task-dependent, at PM discretion)
Key Peers: Superintendent, Financial Controller, HR Manager, Accountant

Key Responsibilities
•         Manage commitments workflow in Procore: change events, change orders, purchase orders, and subcontracts
•         Track and manage project documentation including drawings, specifications, submittals, RFIs, and correspondence in Procore
•         Coordinate and communicate with PMs, superintendents, subcontractors, and consultants on all open actions
•         Coordinate meeting agendas and minutes; support PM in distribution to stakeholders
•         Track open quality items including inspections, observations, incidents, and deficiencies; support resolution
•         Maintain and update project schedules; gather data from PMs and superintendents (when scheduling duties assigned); identify critical path items
•         Assist PM in preparation and submission of project reporting, progress photos, and status updates
•         Track project milestone completion and compile closeout documentation including as-built drawing collection, substantial performance notifications, and deficiency list resolution
•         Manage permit applications, utility service requests, insurance certificates, and expiry tracking; action renewals as required
•         Assist the sales and project management team in preparing project budgets, quotes, and detailed estimates; complete quantity take-offs and solicit subtrade bids; assemble costing in ACS standard templates
•         Manage and organize safety documentation in Procore; assist with trade compliance verification, insurance document collection, WCB clearance, and H&S acknowledgements prior to mobilization
•         Provide weekly reporting to Operations Manager in collaboration with the Project Manager; contribute to quarterly portfolio reviews and post-mortem meetings
 
Qualifications & Experience
•         At least 3 years of demonstrated experience at a small to medium General Contractor on commercial projects, or equivalent industry experience including a trade background with project coordination exposure
•         Degree or diploma in construction management, engineering technology, or equivalent
•         Strong communication, problem solving, organizational, and interpersonal skills
•         Proficient in Microsoft 365 (Excel, Word, Teams, Outlook required at minimum)
•         Knowledge of construction processes, means, and methods
•         Blueprint and construction document interpretation
•         Experience with Procore project management software an asset
•         Experience with MS Projects scheduling software an asset

Requirements
•         Must have and maintain a valid Class 5 license with clean driving record
•         Eligible to legally work in Canada without employer sponsorship
•         Must live in the Bow Valley or be willing to drive to project sites throughout the Bow Valley
•         Ability to access active construction sites, including climbing stairs/ladders and navigating uneven terrain

•         Competitive salary based on experience starting at $75,000/year
